Sample Collection and Management

Every sample accounted for, from request to disposition

Sample Collection and Management is a distinct Innosano capability supporting the collection, identification, handling, movement, tracking, testing and management of samples and the information associated with those activities.

The challenge

A sample is only as good as the record that travels with it: who collected it, from whom, when, under what authority, where it went next, who tested it and what happened to it afterwards. When a link in that chain sits on paper, in an inbox or in somebody’s memory, the result becomes contestable. A contested result is worth very little to the organisation that commissioned it.

What the capability manages

  • Collection requests and bookings
  • Participant or donor identification
  • Consent and authorisation
  • Collection instructions
  • Collector identification and credentials
  • Collection date, time and location
  • Specimen or sample identifiers
  • Chain of custody records
  • Transfer and transport information
  • Laboratory or testing provider information
  • Sample status
  • Testing or analysis information
  • Results where applicable
  • Storage, retention or disposition information
  • Audit and compliance information

Who uses it

Collectors, agencies, laboratories, Medical Review Officers, employers and sporting organisations each see the part of the record their role requires. A collector documents a collection. A laboratory receives what it needs to perform an authorised test. The commissioning organisation receives the outcome it is entitled to, not the underlying clinical detail.

The specimen and its record are not the same thing

Information connected with a sample may be personal information, health information or sensitive information where it identifies, or can reasonably identify, an individual. That information is what Innosano manages.

The physical specimen is a separate matter. Possession, handling, storage, transport and disposal of the specimen itself are governed by other legal, contractual, clinical, laboratory and operational requirements. The distinction is set out at clause 7 of our Privacy Policy.

One sample, from request to disposition

Sample data
  1. Collection

The sample is prepared and collected under a booking, with consent and the collector verified.

    • Participant / donor details
    • Consent and authorisation
    • Collection location
    • Sample identifiers
  2. Transport (Chain of Custody)

Every handover is recorded, keeping the chain of custody secure from collection to the laboratory.

    • Chain of custody records
    • Transfer and transport information
    • Sample status and condition
  3. Laboratory

The sample is received by the laboratory and processed according to testing protocols, with all key information recorded.

    • Laboratory receipt and accession
    • Testing and analysis
    • Sample status in laboratory
  4. Result received

Testing information and results are recorded and linked to the same sample, along with what happens next.

    • Test results
    • Reports and files
    • Storage, retention or disposition

Audit and compliance information is captured at every stage, not at the end.

Information captured across the life of one sample.
